Privacy Notice

Tysoe Hedge Care respects your privacy and only uses personal information where it is needed to respond to enquiries, prepare quotes, arrange work, provide services and meet business or legal obligations.

Who we are

Tysoe Hedge Care is operated by Alex Bell as a sole trader based in Tysoe, Warwickshire.

Information we may collect

  • Your name and contact details.
  • Your property address, including street, village or town and postcode.
  • Information about each hedge, its dimensions and condition, the property, access, parking, waste arrangements and work requested.
  • Preferred dates and booking information.
  • How you heard about Tysoe Hedge Care and any referring customer name you choose to provide.
  • Quote photographs that you choose to upload or send. These may show your property, hedge condition, access arrangements or the proposed working and waste route.
  • Messages and correspondence sent through WhatsApp, email, telephone or the website.
  • Quote, job, invoice and payment records.
  • Basic technical or security information processed by the website hosting provider when the website is accessed.

The website does not directly collect or store payment-card details.

Why we use your information

Purpose: Responding to enquiries and preparing guide estimates or confirmed quotes.
Lawful basis: Taking steps at your request before entering into a contract.
Purpose: Arranging, managing and completing booked work.
Lawful basis: Performance of a contract.
Purpose: Maintaining invoices, payment and tax records.
Lawful basis: Legal obligation.
Purpose: Customer administration, repeat-booking reminders and administering referrals or credits that require owner approval.
Proposed lawful basis for owner review: Legitimate interests in administering customers and operating the service.
Purpose: Internal pricing analysis and geographic profitability reporting to understand completed-job costs and service performance.
Proposed lawful basis for owner review: Legitimate interests in understanding and improving business performance, using aggregated or less-identifiable information where practical.
Purpose: Managing complaints, protecting the business, preventing misuse and keeping appropriate records.
Lawful basis: Legitimate interests in operating and protecting the business.
Purpose: Publishing an identifiable customer testimonial, property photograph or before-and-after image for marketing.
Lawful basis: Consent, where permission has been requested.

Permission for marketing photographs or testimonials can be withdrawn by contacting Tysoe Hedge Care. Withdrawal does not affect use that was lawful before permission was withdrawn.

Sending a quote request does not add you to a marketing list. Separate permission will be requested before using your details for marketing communications.

Who information may be shared with

Information is only shared where needed to provide the service, operate the business or comply with the law. Depending on how you contact or pay Tysoe Hedge Care, this may include:

  • WhatsApp/Meta when you choose to communicate through WhatsApp.
  • The business email provider when you communicate by email.
  • Cloudflare, where used to host and protect the website, store enquiry records and private quote photographs, and provide the Turnstile spam-protection check.
  • Banking, payment, bookkeeping or accounting providers.
  • HM Revenue & Customs, regulators, professional advisers or law-enforcement bodies where legally required.

Tysoe Hedge Care does not sell customer personal information.

International processing

Some technology providers, including communications or hosting providers, may process information outside the United Kingdom. Where this occurs, the provider is expected to use appropriate legal safeguards for international data transfers.

Proposed retention periods

Owner review required: these periods are proposed for review before production use and are not legal advice.

  • Enquiries that do not become booked work: normally up to 12 months after the last contact.
  • Quote, job and customer correspondence: normally up to six years where needed for records, complaints or legal claims.
  • Invoice, payment and tax records: for the period required by HM Revenue & Customs.
  • Photographs or testimonials used with permission: until they are no longer needed or permission is withdrawn, subject to material already lawfully published.
  • Private quote photographs: only for as long as they are required for the enquiry, any resulting quote or job, disputes and legitimate business-record purposes.
  • Information may be kept longer where required by law, an active dispute, insurance matter or regulatory request.

Information that is no longer needed will be securely deleted or anonymised where reasonably possible.

Security

Reasonable practical and technical measures are used to protect customer information. Access is limited to information needed to operate the business. However, no internet, email or messaging service can be guaranteed to be completely secure.

Customer addresses and identifiable job notes are not published. Identifiable customer records are kept separate from aggregated or anonymised reporting outputs, and summary reporting uses a village, street or postcode area instead of an exact address wherever that is sufficient.

Quote photographs are stored privately and associated with the relevant enquiry and any resulting quote or job. They are not placed in the public gallery or otherwise published without separate permission. Customers may request deletion, subject to any legitimate legal, dispute or business-record need to retain them.

Cookies and website technology

This website does not currently use non-essential analytics or advertising cookies. The hosting and security provider may process basic technical logs needed to deliver and protect the website.

The quote form uses Cloudflare Turnstile to help identify automated or abusive submissions. Turnstile may process basic device, network and security information for that check; it is not used by Tysoe Hedge Care to add customers to marketing.

Your rights

Depending on the circumstances, you may have the right to:

  • Ask for a copy of your personal information.
  • Ask for inaccurate information to be corrected.
  • Ask for information to be deleted.
  • Ask for use of information to be restricted.
  • Object to certain uses of your information.
  • Withdraw consent where consent is the lawful basis.
  • Complain about how your information is being used.

Complaints

Please contact Tysoe Hedge Care first so that any concern can be addressed. You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection.

Changes to this notice

This notice may be updated when the business, website or use of personal information changes. The latest version will be published on this page.
